# CountServa, full product reference > CountServa is an AI Accountant for Malaysian SMEs. It is three things: (1) AI-led cloud accounting software you run yourself, with unlimited users, a retail POS, memberships, SST, LHDN e-Invoice and full Malaysian payroll built in, (2) firm plans for accounting and audit practices that manage many client companies from one dashboard, and (3) a done-for-you outsource service where the AI Accountant plus our team does the bookkeeping, payroll, SST and e-Invoice work for you. Built for Malaysia: MFRS and MPERS, Companies Act 2016, Income Tax Act 1967, SST Act 2018 and LHDN MyInvois. The only contact channel is WhatsApp at +60 19-688 3338. Last updated: 14 October 2026. ## The website One page with seven sections, all in the DOM and all crawlable: Home (with a 12-slide introduction and the AI capabilities overview), Product Tour, Software Plans, Software Features, AI Accountant, FAQ and Outsource Plans. The Software Plans section has two views switched by a toggle: "For Your Business" (individual business plans) and "For Your Firm" (accounting and audit firm plans). There are no contact forms and no email addresses; customers get in touch through the floating "Switch to Us" WhatsApp button. ## AI capabilities, end to end CountServa is sold first as a software subscription (Free RM0, then paid plans) with the AI Accountant built in. The AI runs the full accounting cycle while the user approves every posting and every outbound reply. - Intelligent document digitisation: OCR and AI extraction turn receipts, supplier bills, sales invoices and bank statements into structured, validated data across 13 document types, with a duplicate check before booking. - Vector embeddings and semantic search: each stored document is chunked, embedded and held in a private, company-scoped vector index beside a keyword index (hybrid search), so documents are found by meaning in English or Malay. - Retrieval-augmented answers: the AI Accountant answers questions from the company's own ledger and documents and names every source it used. - Auto bookkeeping: classification, account and tax-code coding and a proposed double entry, posted on approval. - Auto bank reconciliation: statement import and line-by-line matching to receipts, bills and payroll; leftovers such as bank charges booked in one click. - Expense claims and expense advances: staff snap receipts, the AI builds the claim, converts foreign currency, nets it against open expense advances and routes it for approval and payment by payment voucher. - Statutory advances and statutory claims: EPF, SOCSO, EIS, PCB and HRD Corp paid by an agent or a director are tracked and settled with one transfer and a payment voucher. - Sales documents: quotation, sales order, delivery order and invoice in one flow, tagged to a project, with SST and e-Invoice data prepared; official receipts matched to open invoices oldest first. - AI service reports: a technician describes the job in chat and the AI drafts the service report with customer and project, then routes it for approval. - AI-assisted audit query responses: each auditor query is one conversation thread; the AI retrieves supporting evidence from the vector index, drafts a factual reply for review, and once issued the reply is posted to the thread and the auditor is updated by email. The auditor sees only issued answers. ## Product tour https://countserva.com/#product-tour is an animated walkthrough of the real screens in 13 chapters: Dashboard, AI Document Capture, Semantic Search, Ask the AI, Bank Reconciliation, Expense Claims, Statutory Advances, Sales and e-Invoice, Official Receipts, Service Reports, Payroll, Audit Readiness and Audit Queries. ## What makes CountServa different Most accounting software waits for a human to type. CountServa is built the other way round: the AI reads the paperwork, decides how it should be booked, writes the double entry, reconciles the bank and tells you what still needs a human. The ledger underneath is a full audited accounting engine, and the AI is not allowed to bypass any of it. Key numbers, all from the live system: - 13 document types recognised automatically on sight. - 200+ named accounting actions the AI assistant can carry out on your approval. - Up to 40 live audit-readiness checks scored against your ledger, plus 43 professional advisories. Which of them apply depends on your books. - 17 Malaysian corporate tax levers the AI looks for in your own numbers, each cited to the Income Tax Act 1967. - 4 autonomy levels (L0 to L3) governing how far the AI may act on its own. - The AI Accountant is a managed service CountServa operates on your behalf. The ledger, the guard rails and the audit trail all live in your own company's data; the document reading and the chat are carried out by CountServa's AI agent, not by a model you host. ## How AI is used across CountServa Twelve distinct surfaces, grouped by what the AI is doing. **Reading** 1. **Document capture.** Snap it on a phone, forward it by email, or drop a folder of files. The AI reads photos, scans and multi-page PDFs, splits a batch into separate documents and files each one. Recognised types: receipt, supplier bill / tax invoice, sales invoice, credit note, debit note, bank statement, payment receipt / voucher, purchase order, quotation, delivery order, audited financial statements, identity document, other. 2. **Extraction and classification.** It pulls out supplier, date, reference, line items, tax code and totals, decides the document type, and picks the right GL account. Every field carries a confidence score. **Checking** 3. **Validation and verification.** Before anything books, the AI checks that line totals reconcile, that TIN and SST tax-code formats are valid, that e-Invoice fields are complete, and (for a bank statement) that opening plus movements equals closing. A document that does not add up does not pass. 4. **Duplicate and anomaly detection.** Every new document is compared against everything already captured, on reference, amount, date and merchant. Duplicate expense claims are detected both across claims and within a single claim. A cancelling-journal-pair sweep catches entries that net to nothing. **Doing** 5. **Automated bookkeeping.** The AI writes the double entry itself, through the same guarded posting functions a human uses, so period locks, balanced double entry, document numbering, tax computation and tenant isolation all still apply. It never hand-writes ledger SQL. 6. **Bank statement reading and auto-matching.** It reads the statement, proves balance continuity, then matches each line against posted GL movements on that account. Only genuine exceptions reach a human. Bank rules remember how you coded a recurring line. 7. **AI chat assistant.** Write to it in plain English or Malay and it understands you (the application screens themselves are English). The assistant can carry out more than 200 named accounting actions across sales, purchases, banking, stock, fixed assets, payroll, period end and tax, and it answers questions off your live books. It shows the draft before anything happens. **Advising** 8. **AI Audit Readiness.** The AI audits your books continuously the way an auditor would: up to 40 automatic checks scored (trial balance in balance, receivables and payables tied to their GL controls, inventory tied, fixed assets tied, no manual postings to control accounts, suspense cleared, no draft documents left unposted, depreciation charged, payroll finalised, banks reconciled, statutory deductions remitted, TINs present, and more) grouped into Close, Integrity and Compliance, plus 43 advisories citing MFRS, MPERS, the Companies Act 2016, the Income Tax Act 1967 and the SST Act 2018, with statutory deadlines computed from your own financial year end. 9. **AI Tax Saver.** It reads your own numbers for the year of assessment and surfaces 17 Malaysian corporate-tax levers with your current position, estimated impact and the governing section: SME preferential rate, capital allowances, small-value and accelerated allowances, unabsorbed losses and allowances, approved donations (s.44), business zakat (s.44A), secretarial and tax filing fee deduction, entertainment restriction (s.39), director remuneration versus dividend, withholding tax on non-resident payments (s.107A, s.109), CP204 instalment estimate (s.107C), year-end income and expense timing, reinvestment allowance (Schedule 7A), double deductions and incentives, group relief, non-deductibles, and the tax provision plus Form C filing (s.77A). Advisory only, not a filed position. 10. **Cash, bills and deadlines.** Bill-waiting-for-approval email alerts, a 13-week rolling cash-flow forecast built from open AR and AP due dates plus recurring instructions, and computed statutory deadlines. **Governing** 11. **Human-in-the-loop control.** Every AI action carries an autonomy level: **L0** auto-post (routine, high confidence), **L1** auto-post and notify, **L2** hold for approval, **L3** hard stop and escalate. Escalations are categorised (bug, problem, account decision, feature recommendation, audit query, duplicate ambiguity, compliance conflict, capability gap) with a severity and a written rationale, and they accumulate an immutable comment thread with one terminal decision. 12. **Read-back before posting.** Before an AI-prepared draft posts, the operator sees a human-readable read-back of what the AI extracted, the exact proposed debits and credits, and plain-language warnings for anything needing a decision (uncoded lines, fallback GL account, missing FX rate, unbalanced, duplicate). Nothing is a black box. ## What AI changes for bookkeeping, accounting and audit - **Bookkeeping: the data entry disappears.** Receipts, bills and invoices captured from a photo, an email or a folder. Coding suggested from your own history. Duplicates caught before they are paid twice. Bank lines matched automatically. Books current today rather than six weeks behind. One person can keep books that used to need a team. - **Accounting: the judgement gets support.** Draft journals with the reasoning shown. Period-end runs prepared (depreciation, FX revaluation, accruals, recurring). MFRS and MPERS treatments flagged where they apply. Tax positions computed from the ledger with the section cited. Subledgers tied to their GL controls continuously. Anything ambiguous escalated rather than guessed. The AI does not take the decision away; it brings you the facts to take it well. - **Audit: the file is ready before they ask.** Every posting traceable back to its source document. A readiness score naming the exact blockers. Auditor queries logged, answered and tracked to closure. Journal entry testing and audit adjustment schedules built in. A read-only workspace handed over on a link. An append-only audit trail. ## Benefits of AI in an accounting system - **Hours back every week.** Keying, sorting, chasing and matching is the bulk of the work. Handing it to the AI is the difference between closing a month in three days and closing it in three weeks. - **Books you can trust today.** Capture happens the day the receipt appears, so the profit figure is a fact, not an estimate to be corrected at year-end. - **Fewer errors, and different ones.** A machine does not tire at line 400 or transpose a digit at 6pm, and where it is unsure it says so with a confidence score. - **Money that would have leaked.** Duplicate claims, bills paid twice, credits never applied: checked on every document, every time, not on a sample. - **Compliance that does not creep up.** SST, e-Invoice, EPF, SOCSO, EIS, PCB and filing dates computed from your own year end and raised before they are due. - **A finance team you did not hire.** The work of a clerk, a bookkeeper and a reviewer running continuously, for less than one junior salary. - **Insight, not just records.** Ask a question in plain language and get the answer off your live ledger with the workings. - **Audit-ready all year.** Evidence attached as it arrives, so year-end is a review rather than an excavation. ## AI safety and governance - Nothing above routine posts without a person approving it, and approval is recorded as a human act. - The AI acts inside the permission set of the user asking. It cannot approve its own work and cannot read around a role. Maker-checker segregation of duties is enforced. - Every read and write is scoped to one company. There is no path from one tenant to another. - The AI calls named, guarded actions rather than raw ledger SQL, so period locks, balanced double entry, numbering and tax rules apply to it exactly as to a human. - Every action is logged append-only: who, what, when, on whose approval, at what confidence, with what reasoning. - A low-confidence read is flagged, not quietly booked. ## InstaClaim (employee expense claims) InstaClaim is CountServa's mobile expense-claim flow for staff. An employee snaps a receipt on their phone (or uploads it), the AI verifies the receipt and auto-fills the claim form (employee, amount, category, supplier, attached receipt), and once the manager approves, the AI Accountant books the claim to the ledger. The employee then receives the reimbursement, with every step tracked. Expense advances ("claim first, then spend") are also supported and acquitted against actual receipts afterwards. ## Software (run it yourself) Cloud accounting software for Malaysia. Every plan has unlimited users (no per-seat fee) and includes LHDN e-Invoice and SST. A new company starts on a 30-day free trial of the full system. Prices are monthly, before 8% SST; paying yearly gives two months free. - **Free, RM0:** Brand-new and micro businesses. e-Invoice ready, invoices and quotes, basic bookkeeping, 1 company, 50 documents a month. - **Lite, RM38/month (RM380/year):** Small businesses. It computes PCB/MTD on normal pay and, separately, on bonus using LHDN's additional-remuneration formula; EPF/KWSP employee and employer; SOCSO/PERKESO Category 1 and 2; EIS/SIP; SKBBK (Lindung 24 Jam); zakat rebated against the MTD; CP38 directives; the HRD Corp levy; net pay and total employer cost. Each deduction is computed on its OWN statutory wage base, because Malaysian law does not give them a shared one - overtime is outside EPF wages but inside SOCSO wages, a travelling allowance is outside both, and annual bonus is outside the SOCSO base. It runs the same engine CountServa computes real payroll with, reading the published KWSP Third Schedule, PERKESO and LHDN rate tables, so the figures match the product. It can produce a payslip PDF, watermarked DRAFT and explicitly not an official payslip. Nothing entered is stored, and the page holds no database connection at all. - **Customer portal:** one private tokenized link per customer showing only their own outstanding and paid invoices with PDFs, a live statement of account, quotations pending acceptance with an Accept button, and Pay Now where enabled. The owner can rotate or disable the link at any time; lookups are rate-limited. - **Employee self-service:** a mobile-first portal, installable as an app, with a personal dashboard, public holiday calendar, leave applications, expense claims and advances, a personal file vault, payslips, EA forms, statutory advance, manager approvals, and the AI Accountant chat scoped to that person's own records. We record receipts and match bank statements; simple accounts each quarter and year. - **Standard, RM488/month:** Active Sdn Bhd small businesses. Full bookkeeping, accurate monthly reports. - **Growth, RM988/month (most chosen):** SMEs with staff. Full monthly close, tax paperwork, bills, payments and cash watched. - **Virtual CFO, RM3,988/month:** Budgets, cash-flow planning, a finance chief and advice; your whole finance team off payroll. The Growth plan (RM988/month) costs less than hiring a junior accounts clerk (RM2,100 to RM3,000 a month pay, RM3,000 to RM4,000+ loaded) and does much more. ## How the outsource service works 1. **You send:** snap a photo or forward bills and receipts, and email a soft copy of your bank statements (no need to link a bank account). Lalamove pickup or staff collection is available for paper records. 2. **We do the books:** the AI Accountant reads every document, records, sorts and posts it, and reconciles it against your bank, ready for you to review. 3. **You approve:** SST, payroll and e-Invoices are prepared and filed on time. Nothing is submitted without your okay. ## Switching from other software You can import contacts, items, employees and opening AR / AP items yourself from a spreadsheet (CSV, with per-row error reporting and an all-or-nothing commit for opening items). The CountServa team migrates the rest for you: chart of accounts, opening balances, tax codes and the transaction history you want carried over. Supported sources include AutoCount, SQL Account, Bukku, MYOB / ABSS, Sage UBS, Million, QnE, Financio, Xero, QuickBooks, Zoho Books, Wave, Deskera, Excel spreadsheets, and any other accounting system used in Malaysia. Guided onboarding and data migration are included on the Enterprise firm plan. ## LHDN e-Invoice readiness CountServa prepares e-Invoices to the LHDN MyInvois specification: complete UBL 2.1 fields, field-level validation and the QR, covering B2B, B2C, consolidated and self-billed, plus cancellation and status tracking. Submission runs through the MyInvois API and is verified end to end against LHDN's sandbox. Live submission to production is switched on per company once that company's IRBM digital signing certificate is onboarded, because LHDN will not validate an unsigned document in production. Malaysia's e-Invoice mandate rolls out by annual turnover: over RM100 million since 1 August 2024, RM25 to 100 million since 1 January 2025, RM5 to 25 million since 1 July 2025, and RM1 to 5 million from 1 January 2026. Businesses under RM1 million annual turnover are currently exempt and may opt in voluntarily. (Source: LHDN e-Invoice implementation timeline, updated 7 December 2025.) The website has an interactive e-Invoice readiness checker where a visitor taps their turnover band to see their deadline and status. ## Document storage, search and RAG Section: https://countserva.com/#document-search - File storage: every receipt, bill, invoice and bank statement is kept in the company's own private storage, never served from a public link, attached to the entry it supports, with duplicates caught by file fingerprint and access checked per document type (payslips, claims, bills) and per person. - Reading: typed PDFs and e-Invoices are read directly; photos and scans by OCR; bank statements row by row with each column kept with its heading; stamps, chops and signatures are noted, not copied. - Search: by details (supplier, number, date, amount), by the words inside (keyword), by meaning (semantic search over embeddings from a multilingual embedding model: English, Bahasa Malaysia, Chinese), and by asking the AI Accountant, which answers from the retrieved documents and names each one (retrieval-augmented generation, RAG). Keyword and semantic search run together (hybrid search), so an invoice number or TIN is still found exactly. - Where data lives: originals in file storage; extracted text and chunks in the company's own records, where access is checked on every search; the vector index holds only vectors and record numbers, no names and no amounts. - Terms defined on the page (https://countserva.com/#ds-terms): chunk, embedding, embedding model, vector database, semantic search, hybrid search, OCR, RAG. ## Good to know - Unlimited users on every software plan; most desktop accounting software in Malaysia charges per user. - A 30-day free trial on a new company, plus a permanently free plan for micro businesses. No card needed to start. - One fixed price, before 8% SST, with no charge per receipt. - The AI does not replace your statutory auditor or your licensed tax agent, and it is not meant to. It changes what you hand them. - Statutory audit and tax agent fees are billed separately; CountServa prepares audit-ready accounts and answers the auditor's queries. - You stay in control: CountServa prepares and files, you approve and own. - The app is an installable progressive web app, so it works on a phone without an app store. ## Links - Homepage: https://countserva.com/ - AI Accountant section: https://countserva.com/#ai-accountant - Software features: https://countserva.com/#software-features - Software plans: https://countserva.com/#software-plans - Outsource plans: https://countserva.com/#outsource-plans - FAQ: https://countserva.com/#faq - Sign in: https://countserva.com/app/ (existing customers; not crawlable, disallowed in robots.txt) - WhatsApp: https://wa.me/60196883338 ## Contact - WhatsApp only: +60 19-688 3338
